How to Add a Damage Waiver to an Order
What This Is
A damage waiver is an optional fee customers can add to help cover potential damage to rental equipment.
Damage waivers are always optional. They cannot be required.
If you want every customer to pay this amount, include it in your rental pricing instead.
How to Access Damage Waiver Settings
Go to:
Website → Checkout Settings → Damage Waiver

From here, you can:
- Turn the damage waiver on or off
- Set it as automatically opted in or opted out
- Choose percentage-based pricing or a flat fee
- Update the damage waiver contract language
Online Orders (Customer Checkout)
When customers place an order on your website:
- The damage waiver will appear at checkout (if enabled)
- It can be:
- Automatically opted in (selected by default, customer can remove it)
- Opted out (customer must choose to add it)
The customer always has the option to remove it.
Quotes & Manual Orders
Go to:
Orders → Quotes / Manual Orders → Add Quote/Manual Order or Edit

- You will see a Damage Waiver option (checkbox) when creating the order
- Checking it will automatically apply the fee based on your settings

If you do NOT see the damage waiver option:
- It is likely turned off in your settings
- Go to:
Website → Checkout Settings → Damage Waiver
- Set availability to Yes, and it will then appear in quotes and manual orders

Adding or Removing on an Existing Order
You can also update the damage waiver after an order has been created.
- Open the order
- Scroll to the bottom
- Under Add, select Damage Waiver
- Check or uncheck the box to add or remove it
Pricing Options
You can set the damage waiver as:
- A percentage of the order
- A flat fee
How the Damage Waiver Works
A damage waiver is not insurance. No insurer is involved, and BRS does not provide coverage.
It works like this: customers pay a small extra fee, and you keep that money to help offset any damage costs yourself.
That leads to two key realities:
- You keep 100% of the waiver fees
- You still pay for any equipment damage using your own funds or business reserves
So the waiver is not protection. It’s just a way to build a small buffer for potential damage costs.
Most rental businesses charge around 7–10% of the rental price, depending on how risky the equipment is.
Important limitation
A damage waiver does not remove customer liability. If something is damaged beyond normal wear and tear, you still rely on your rental agreement to hold the customer responsible.
That’s why it must be paired with clear contract terms covering:
- Customer responsibility for damage
- Repair or replacement costs
- Negligence or misuse
If your contract doesn’t enforce responsibility, the waiver alone won’t protect your business.
Important Note
Damage waivers cannot be required.
If you want this fee to always be included, build it into your pricing instead.
