How to Import Historical Orders into BRS
What This Is
BRS allows you to import historical orders from a previous system so you can keep your past order data in one place alongside your customers.
This is only for past (historical) orders — all new and future orders should be created and managed directly inside BRS.
Where to Find This
Go to: Orders → All Orders
At the top of the page, click:
Import Historical Orders

Required File Format
Your import file must include the following columns:
- StartDate
- EndDate
- ItemsIncluded
- Total
- OriginalOrderId
- ImportedFrom
- Notes
Important:
• StartDate and EndDate must follow this format:
YYYY-MM-DD HH:MM AM/PM
• Column names must match exactly or the file will not upload
• OriginalOrderId can be any unique value — if you don’t have one, you can create your own
• ImportedFrom should indicate the source (e.g. ERS, IO, QuickBooks, or another platform)
Best Practice
- Import customers first, then import historical orders
- Make sure the email in the order file matches the customer email in BRS exactly
- This is what allows orders to link correctly to customers
How It Works
- Historical orders are linked to customers using the email address
- If the email matches, the order will automatically appear under that customer
To view this:
- Go to Customers
- Open a specific customer
- You will see their historical orders listed in their profile
Important Notes
- This is only for importing past data, not for creating or managing new orders
- You cannot re-import the same orders again once they already exist
- BRS will not import duplicate records
Common Issues
- Orders not showing under a customer due to mismatched email
- Incorrect date format preventing upload
- Column names not matching exactly
Recommendation
Import your customers first, then your historical orders, and ensure emails match exactly so all past orders are properly linked and visible.
