Why Availability Is Not Blocking Correctly

What this usually means

Availability is controlled by several settings in BRS. If an item appears available when it should not be, or unavailable when it should be available, review the product’s inventory, booking rules, dates, times, and related order details.


Things to review first

1. Check the product inventory count

Go to: Rentals → Rental Items

Open the product and review the inventory count.

If the product has one unit and that unit is already booked for the selected date/time, it should not be available again for that same rental window.

If the product has multiple units, BRS should allow bookings until the available quantity is used.


2. Check whether the date/time overlaps with an existing order

Open your orders for the selected date and review whether the item is already booked.

Availability depends on the selected rental window, not just the calendar date.

For example, an order from 10 AM to 2 PM may affect availability differently than an order from 10 AM to 10 PM, depending on your setup.


3. Check buffer time

Buffer time can block availability before or after a rental.

Open the product under:

Rentals → Rental Items → Edit Product

Review whether buffer time is enabled under availability and whether the buffer is causing the item to appear unavailable for nearby rental windows.

4. Check blocked dates or unavailable dates

If you blocked off a date or time period, customers may not be able to book products during that window.

Review your vacation mode settings in rentals, rental settings.


5. Check advance booking requirements

If your account requires customers to book a certain number of days in advance, a customer may not be able to book a date that is too close. Check in rentals, rental settings, booking and availability.


6. Check delivery capacity

If you limit the number of deliveries per time slot, the issue may not be product inventory. The selected delivery window may already be full. Check in rentals, rental settings, booking and availability.

7. Check variants, if the item uses variants

If the product has variants, review whether inventory is shared across variants or tracked separately.

For example, if a product has different color or size variants, your inventory behavior depends on whether those variants share the same stock or have separate inventory counts.


8. Place a test order

Try placing a test order using the same product, date, and time. This will show you whether customers are seeing the same availability result.
